(hereinafter referred to as “Glassroom”), is committed to protecting the personal information it collects, uses and discloses in the course of providing services and conducting its activities, in accordance with the requirements of applicable regulations, including privacy protection laws.

1.Personal information

This Privacy Policy sets out the terms and conditions for the collection, use and disclosure of the personal information of our clients, other individuals and users of our website (“you”).

The term “personal information” refers to information about an identifiable individual. Generally, personal information does not include business contact information that we use to contact you in the course of your professional activity, including your name, title or position, or your business telephone or fax number.

2.Accountability, governance procedures and policies

Under applicable privacy protection laws, Glassroom places the utmost importance on the security of your personal information and is committed to treating it in accordance with industry standards, solely for the purposes for which it is collected as described in this Policy or in a specific notice to that effect. However, absolute backup of said information is impossible due to the security limitations inherent in transmission via the internet. The information transmitted to us is therefore ultimately at the user's own risk.

We are committed to protecting your personal information and have put policies and procedures in place that govern how we handle it. These policies and procedures include the following:

  • Implementing policies and procedures to protect personal information in our custody and monitoring unauthorized access, use or disclosure.
  • Putting in place processes to respond to individuals’ inquiries and complaints in a timely and efficient manner.
  • Establishing a privacy framework, which sets out employees’ roles and obligations with respect to the handling of personal information.

3.Terms and conditions regarding consent for the collection of personal information

Glassroom is committed to obtaining your consent prior to collecting your personal information. This consent may be express or implied, and it may be provided by the individual or his or her authorized representative.

We encourage obtaining express consent, whether communicated verbally, electronically or in writing. However, implied consent can be reasonably inferred from an individual's actions or inactions. For example, when someone provides their name and address to receive a publication, or their name and phone number to get an answer to a question, this is considered implied consent to the collection of information containing personal data. To determine the appropriate type of consent, we consider the sensitivity of the personal information involved, the purposes for which it was collected, and the reasonable expectations of an individual in a similar situation.

We also assume that clients who retain our services consent to the reasonable collection, use and disclosure of their personal information by our employees and agents in connection with the services we provide to our clients and the projects in which they are involved. If you provide us with personal information about a third party, we rely on you to obtain all necessary consents to allow us to collect, use and disclose that personal information for the purposes for which it was collected and in accordance with this Privacy Policy.

If we want to use the same personal information for a new purpose, we will make sure to ask for your consent to the new use, and we will describe said new use.

Glassroom is committed to collecting personal information only by lawful means and only for the purposes that have been disclosed, in accordance with the provisions of this Policy or when required by law.

Due to the sensitive nature of the personal information collected in the interactions between you and Glassroom, we are committed to informing you of the types of personal information we use.

Among the personal information that may be collected and used, we will pay particular attention to:

  • Name and contact information: First and last name, email address, mailing address, telephone number, and other similar information used to contact you.
  • Payment data: Data required to process your payments, such as your credit card number and security code.
  • Data about the items you purchase and activities associated with your account, such as searches and orders placed on the website.
  • Data you provide when you contact Glassroom to obtain a service.
  • Geolocation data.
  • Other data provided when you use our website, including Google Analytics data.

5.Use of collected data

Service delivery:

Glassroom collects, uses and discloses personal information primarily to provide communications or other consulting services to its clients, and to represent them, namely for the following:

  • Initiating and maintaining a relationship with the client, providing services and advice, fulfilling their contractual and other legal obligations.
  • Disclosing personal information to third parties as necessary to provide services for various mandates such as advertising campaigns and consulting services.
  • Initiating and maintaining business relationships with clients, suppliers and third parties, including for the purpose of preparing invoices, hiring teams to carry out certain mandates, administering accounts, collecting and processing payments, assessing credit ratings, and fulfilling contractual obligations.
  • Communicating with clients and others in the course of market research and evaluating customer service and satisfaction.
  • Updating, improving, and managing information systems used as part of our business activities, such as those used for file transfers, word processing, editing, graphic design, document management, knowledge management, and databases.
  • Detecting and protecting against errors, negligence, breach of contract, fraud, theft and other illegal activities and, if necessary, complying with our insurance requirements.
  • Developing and managing our business and business activities, for example, for tracking orders and improving the website.

Newsletters, publications and conferences:

If you sign up to receive newsletters, certain publications, videos or other information from Glassroom, we will collect certain personal information about you. We may collect your first and last name, email address, preferred language, job title, and information about your company, city, province or state, and country in order to send you newsletters, publications, videos, and information about our activities. You can unsubscribe at any time by clicking on the “unsubscribe” link at the end of each email. You may also opt out of receiving marketing communications by email by contacting us using the information provided in the “Contact ss” section below or by sending an email to confidentiality@humanise.world.

Events or activities:

If you attend one of our events or activities (or visit a booth at an event), we may collect personal information, such as your first and last name, company name, work phone number and email address, dietary restrictions, and accessibility requirements. We collect this information so that we can serve you accordingly at our events or activities, to inform you of upcoming activities, offers and promotions, and to provide you with information about our services. Following an event, we may contact you by email to send you a survey, the purpose of which is to gauge your satisfaction with said event or activity.

Candidates for a position:

If you apply for employment with us, we collect personal information that you provide as part of your application or a related request, such as information contained in your resume, cover letter or other similar employment-related document. We use this information to process and respond to your application based on current and future career opportunities, conduct interviews, and facilitate the onboarding process if you accept a position with Glassroom. With your consent, we may also obtain personal information from third-party employment references or former employers, or conduct background checks.

6.Disclosure of personal information collected

We may share personal information with third parties in order to provide services as part of a campaign, communications services mandate, production or other service contract. Third parties may include clients, freelancers, consultants, other agencies, various specialists, contractors, other decision makers, and various experts.

Third-party involvement:

We rely on affiliated and non-affiliated companies, agents and contractors to help us provide our services such as:

  • data hosting;
  • various software-as-a-service;
  • billing support;
  • document storage;
  • software support;
  • webinar hosting;
  • communications sending;
  • background checks;
  • job application management; and
  • secure file transfers.


We give our service providers access to your personal information only to the extent necessary for the services provided to us. We require our service providers to protect the privacy and security of personal information. They are not allowed to use it for any other purpose.

Legal requirements:

We or our third-party service providers may disclose personal information in response to a search warrant or other lawful request or order to other organizations in connection with an investigation of a breach of contract or a violation of any law, or in connection with the detection, suppression or prevention of fraud, or as required or permitted by Canadian, U.S., or other laws (which may include access by Canadian, U.S., or foreign government authorities, regulating bodies, courts, or law enforcement agencies, in jurisdictions where we or our service providers operate).

Business operations:

Personal information may be disclosed as necessary in connection with a prospective or completed asset sale, share sale, merger or other corporate restructuring.

7.Access to and verification of personal information collected

Glassroom ensures that all personal information in its possession is as accurate, current and complete as necessary for the purposes for which it is used.

You have the right to request access to your personal information for audit purposes and to request correction if it is inaccurate. If you believe that your personal information is inaccurate or if you wish to have access to your personal information, you may make a request using the contact information provided at the end of this Policy. To the best of our ability, we will provide you with timely access to your personal information.

However, as a security measure, we may need to verify your identity. In addition, there may be circumstances where we will not be able to provide you with access to your personal information. This includes where access may result in the disclosure of another individual's personal information and that individual refuses to consent to the disclosure of that information, or where legal restrictions apply. If such a situation arises, we will advise you of the reason why we cannot provide you with access to your personal information.

Cookies:

Glassroom may use cookies, web beacons, web bugs, log files, or other technologies to collect certain personal information about visitors to our website, as well as the recipients of our other communications. Cookies are pieces of information that are transmitted by the server to the browser during a visit to the website and that uniquely identify the connection being made. This data may include information such as your Internet Protocol (IP) address, browser type, browser version, the pages of our site that you visit, the time and date of your visit, the time spent on the site, and any other statistics. 9.Retention of personal information

Glassroom retains personal information for different periods of time, depending on their nature and usefulness in our provision of products and services.

During the retention period, we take physical and technical measures to ensure the security of data containing personal information. The primary locations where personal information is stored are the cities in which Glassroom does business.

Personal information may be stored outside of the country in which you live, if a third-party provider or other entity to whom we disclose personal information pursuant to this Policy is located outside the country. In such cases, the personal information may be subject to the local laws of the countries or territories in which the information is collected, used, disclosed or stored, and may be accessed by government and law enforcement authorities in those countries or territories.

Once the retention period has expired, the personal information is destroyed. Only statistics or reports containing de-identified and anonymized data may be retained for extended periods of time.

In the event of a leak of your personal data, we undertake to keep you and the Commission d'accès à l'information du Québec informed.
